Below you can read more about our processing of personal data, within the framework of our activities.

1.     Activities

We mainly operate in the Benelux and our services include:

  • Software development on demand
  • Software maintenance and monitoring
  • Database management
  • After sales support for our clients
  • Consulting services

2.     Personal data that we could process

We process personal data of our clients, suppliers and business contacts as a data controller in order to fulfil our contractual obligations. The main data we process concern contact details; name, company, title, language, gender, address, e-mail address and phone number. We can also process additional information in case freely given by our contact persons.

We also process personal data as a processor for our clients. This only to the necessary extent in order to fulfil our contractual responsibility and provide our products or services to the client. This data may concern:

  • Personal details of (potential) end customers from our clients
  • Data stored on Azure environments and other Cloud applications
  • Personal details of (potential) donors or end customers stored in the databases
  • Any data uploaded in a database or one of our developed software systems

The main personal details we have access to include first - & last name, company, title, language, gender, address, e-mail address, unique ID number, national number, phone number, bank account number and donations/payments made to users of the software platform.

We could also have access to different type of personal details depending on the client and the software delivered. We do not actively process this personal data, we only have access to this data in order to develop, maintain or monitor the software or platform.

3.     Subcontracting

In case we use subcontractors who might process data under our responsibility, we ensure that the service providers we use implement the necessary protection measures for a secure and correct processing and that they fulfil their obligations under the applicable legislation.

Your data may also be passed on to third parties outside our organisation if this is necessary for the above-mentioned purpose or if we are legally obliged to do so.

4.     How long is data stored?

We will retain personal data only for as long as it is necessary. Personal data are deleted after a reasonable time according to the following retention criteria:

  • We retain personal data as long as we have an ongoing relationship with you;
  • We retain personal data for as long as needed in order to comply with our legal and contractual obligations.

5.     How do we protect personal data?

We do everything to protect the personal data we work with, as best as possible. We take appropriate technical and organisational measures to protect data we work with against loss or any form of unlawful processing. We keep data on well-protected cloud environments in Europe. We do not transfer any data outside the European Economic Area (EEA).

6.     What are your privacy rights?

If we process your data under our responsibility, you are entitled to:

  • Request access to the personal data we process about you: this right entitles you to know whether we hold personal data about you and, if we do, to obtain information on and an extract of that personal data.
  • Request a rectification of your personal data: this right entitles you to have your personal data corrected if it is inaccurate or incomplete.
  • Object to the processing of your personal data: this right entitles you to request that we no longer process your personal data.
  • Request the erasure of your personal data: this right entitles you to request the erasure of your personal data.
  • Request the restriction of the processing of your personal data: this right entitles you to request to only process your personal data in limited circumstances based on your consent.
  • Request portability of your personal data: this right entitles you to receive a copy (in a structured, commonly used and machine-readable format) of personal data that you have provided and/or for us to transmit such personal data to another data controller.
